Discretionary Schedule Changes"The Bible"There are various types of allowable schedule changes (they are all summarized in the table links at the bottom) but ENYTB's restrictions on discretionary schedule changes have engendered considerable resistance from a small minority of members. There will always be people who think they are entitled to postpone a game on little notice w/o penalty. However, that is not allowed in this league. NOTE: WP and certain defined Admin Cancellations do not have the same restrictions as discretionary schedule changes. This league allows teams to grant their fellow members certain discretionary schedule changes if and only if those requests do not conflict with the various restrictions imposed by the league. (These restrictions were passed nearly unanimously by the league's membership on several occasions and are defined below.) ENYTB enforces these restrictions by requiring all members to process their requests for schedule changes through the website via the icons attached to the game they wish to have changed. These icons are simple algorithms that incorporate ENYTB's restrictions on schedule changes i.e., if your request violates one or more restrictions, the algorithm will not process your request and inform you of the reason why via an on-screen message.There are two types of discretionary schedule changes:* No Harm No Foul Cancellations (NHNFC), and;* Non-weather Postponements (NWP).Quick Summary of Restrictions:(1) Non-local games are not eligible for discretionary changes - all non-local games (marked by a red car on your schedule) are play as scheduled or forfeit, no changes allowed;(2) Local games = a request for a discretionary change must be entered to the website 7 or more days in advance. Inside of 7 days, the system will not accept such requests. NOTE: The fact you talked to someone and supposedly reached agreement means nothing until your request is entered to the website. No excuses e.g., we agreed 8 days beforehand but I never got around to entering my request to the website until 6 or 5 or 4 days before the scheduled game. Too bad, not acceptable;(3) Until a request is approved by the opponent on the website, it is just that, a request. However, should your opponent fail to reply to your online request via the website, once game is only 72 hours away, all pending online requests shall be automatically granted by the system.An auto-email system verifies each step of the process to all parties. Example of how it works:Team A = wants to make a schedule change because it can't play on the date of the game. Team B is the opponent of Team A. Team A and Team B are local opponents. step i) As soon as Team A knows it can't play the game as scheduled, and no less than 7 days before the scheduled date of the game, Team A calls/contacts Team B to request either a NHNFC or a NWP.step ii)Team B says yes or no. (If no, it's play as scheduled or forfeit.)step iii)Assume Team B says yes to Team A's request for a NWP. Before the request can be entered to the website, the two teams also must agree to a make-up date/time/field. Assume that was done in same conversation.step iv)Team A immediately goes to his online schedule, finds the game and clicks on the NWP icon for that game (each game has its own set of icons for updating the status of a game), and answers a few simple yes/no questions and enters the details of the agreed upon make-up game.step v)Team B gets an email defining the exact request that he had supposedly agreed to and is instructed to go to his online schedule and click on the icon that shows his opponent waiting for an answer, and to answer a few simple yes/no questions. As soon as Team B answers on his online schedule that he has agreed to this schedule change, both schedules are automatically updated and all parties receive email notification of the change. If he doesn't agree, he indicates that and the request is canceled and all parties are notified.The beauty of this system is several fold:A) There is no middle man. The negotiation is directly between the two teams. Large amateur youth baseball leagues like ENYTB do not have the manpower resources to constantly monitor the status of several thousand games. B) There is no he said, she said. No room for misunderstanding. Everything is in black & white. Team B either agrees to grant the specific request from Team A or it doesn't. No ands, ifs or buts. C) All parties are fully informed at every step of the process and every step of the process is documented by the website.D) All league restrictions re: schedule changes are fully complied with because they are built into the various algorithms underlying each icon.For example:-- If the game involves teams more than 60 miles apart (non-local) it will not allow any request for a discretionary change to be entered. -- Same for local games once the game is less than 7 days away.-- It also keeps track of how many NHNFC and NWP requests a team has been granted. Once the allowed number is used up (2 of each), itwill not allow that team any more requests of that type.NOTE: Grace period lasts till May 24. Any request for a discretionary schedule change entered to the system before that date (and subsequently granted) will NOT count against the team's annual cap. IMPORTANT: None of this logic applies to WP. WP are a different animal. They are non-discretionary requests i.e., they are required through no fault of either party. However, the teams are required to update the status of the game to WP on the website. (NOTE: this can be done by either team, home or away.) This is done by clicking the WP icon and answering a few simple yes/no questions.MAKE-UPS FOR WP GAMES - ENYTB does NOT require its teams to make-up WP games. But, if both teams want to, they certainly can.There are two ways to enter a make-up game.One is to simply click the icon = WP/Reschedule. Enter the details of the make-up game and email notices go to all parties. If opponent agrees with details of make-up game, both schedules automatically update. However, this option expires 7 days following the scheduled date of the game. At that time the game is automatically reclassified as an IMPASSE. There is no penalty or fine for an IMPASSE.What if you and your opponent want to make-up the game but it took the two of you longer than 7 days to agree to the details of a make-up? Then you use method#2 - you add the make-up game as a new game using the add game function located on your schedule. The point of regulating schedule changes is not to collect fines. The league funnels all fine money back to the membership. The purpose is to get everyone to treat their fellow members appropriately. The harm caused by a last second travel game cancellation is vastly greater than when a team knows a week or more in advance. A week's notice gives everybody time to adjust. Maybe the team can find another opponent. Failing that, families can make new plans. Umpires can be reassigned and not lose a day's pay. All requests for discretionary schedule changes must be entered to the website a minimum of 7 days in advance. If not, your only option is to play the game(s) as scheduled or forfeit and pay a fine. We also don't want teams saving un-played games until the final week of the season and then entering a bunch of fictitious wins in order tosteal a berth. That's what unscrupulous members have done in the past.PASSED game rule - teams have 7 days to score a played game or to update the status of a game that was not played as scheduled. If you fail to do so, the game becomes PASSED and both teams are fined $75/game.We also had a problem in the past with some members gladly playing home games against non-local teams but when it was their turn to go there, there was a high rate of cancellation. No more. Non-local Rule - All non-local games are immovable, period. So circle them. It is a $225 fine to forfeit a non-local DH.Remember: Non-Albany teams are traveling long distance for 50% of their games while Albany side teams are asked to travel at most, once or twice a season.These controls and fines are in place to protect you from being abused by your fellow members. A few years ago, before we had the current system, a new member called me at the end of the season to tell me that every game on his scheduled had been rescheduled for one reason or another and that in the end, he played only half his scheduled games. He was livid and never came back. Understandably so. We aspire to being a league that people join in order to play baseball rather than avoid playing baseball by cancelling games. In the old days, most members knew each other and treated each other fairly, Once we got big, things got out of control in re: to schedule reliability. We tried different approaches but nothing seemed to work for very long. The current system works.
