To ALL ENYTB Members:We will be collecting field availability and team availability data over the next month. This email addresses our procedures for collecting field availability ONLY. A separate message will be released very soon addressing our procedures for providing your TEAM AVAILABILITY data to the league/website.(1) Members can enter their own field availability data to the web site provided the following:(a) You have a club level password (club owner or club rep); and,(b) you have contacted me to DEFINE/INITIALIZE you field schedules on each of of your home fields.NOTE: When necessary, home fields can be defined to have more than one field schedule.Item 1b is very important. Until you do that you will have no way of entering your home field time to the website, even with club level access.The reason you need to contact me first is to DEFINE the home field schedules that want for each of your home fields. The simplest set-ups will apply the majority of clubs i.e., I have one home field, X number of teams, one field schedule and all time that I put on my field schedule is available equally to all your teams (called POOLED). If this is your situation, it will take us less than one minute to do. In fact, you can reply to this email with a simple 1-1 POOL, and I will set up your field schedule immediately w/o a phone contact (Identify your club name in the email). Also, if you want to host neutral games on your field on Memorial Day Weekend (league's opening weekend) please indicate NEUTRAL=YES as well. Neutral games mean games where neither opponent is a team owned by that club. This is a way to fill your home field on opening weekend and making additional concession revenue if desired.For everybody else with more complicated field set-ups, you must contact me by phone to DEFINE your field schedules. The good news is even the more complicated set-ups will only take a few minutes to set up.MORE COMPLICATED CONFIGURATIONS - Field schedules can be configured in a number of different ways depending on how you want your individual teams to have access to the time you make available to the league for scheduling. For example, you might have multiple fields and want to assign them an overall priority (this field as a concession so fill it before using another = PRIMARY) or you might certain of your teams to play on one field and other teams to play on another (specify team-by-team priority). Or, you might rent field time and need to make an early purchase commitment - this would make you a "MUST FILL" field schedule. (pooled or individual or mixed), whether you have multiple home home fieldsWhatever the applicable situation, all of this will be determined (DEFINED) during our conversation and entered by me to the website. At that point your field schedules will be properly configured and labeled, enabling your club to enter field time to the various blank field schedules whenever it is ready to do so._________________________________________________________________________NOTE: Usually one person is designated by each club to supply all field availability data. However, some clubs require their teams to acquire their own home fields and supply the league with the schedule of field time available to them. In this case, each team guy responsible for his home field time will need to contact me because he will not have access to the website capabilities on home field availability.__________________________________________________________________________(2) Some members are unable or uncomfortable with entering information to the website. Those members will need to do two things.First, they will need to call me to DEFINE/INITIALIZE their home field schedules same as described in (1) above.Second, they will need to send me an email or spreadsheet, identifying the time periods they have available. Or they can call me with the information.Also, if you want to host neutral games on your field on Memorial Day Weekend (league's opening weekend) please let me know. Neutral games mean games where neither opponent is a team owned by that club. This is a way to fill your home field on opening weekend and making additional concession revenue if desired.************************************************************************To ALL ---> REMEMBER, all time periods are specified in terms of the earliest I can START a game until the latest I can START a game. Thus if you can only have the field at 2PM, the interval is specified as 2PM to 2PM, not 2PM to 5PM. The latter tells me you can start a game as late as 5PM.Also, you can break up a single date with multiple separate start times or time intervals. For example, 12pm to 1pm and 5pm to 6pm. The latter tells me I can schedule two games on your home field - the first can start anytime between 1pm and 2pm and the 2nd can start any time between 5pm and 6pm.Also, please keep all weekday starts at 6pm (and later if you have lights and want me to schedule night games at your field).
