As Scheduling and Deadlines Draw Near - A Reminder to ALL teams re: ENTERING Team and Field Availability On The Website.
posted by Administrator 03/20/2007 06:03:13
Many of you keep trying to enter your team and field availability information to the website and don't understand why you can't.We no longer allow you (clubs or teams) to enter your own team or field availability data to the website because of the high error rate in doing so last year. This was one of the many changes enacted this year to cure some of last year's scheduling problems.TO REPEAT: Beginning in 2007, teams and clubs can NOT enter their team and field availability information to the website.Instead, we have added League Reps to do this task for you. Each club needs to provide all team and field availability information to their League Reps, who will enter it for them. Or, as we recommend, each club rep should designate one person from each team to provide that team's availability information directly to that club's league rep. Before doing so, the club rep must inform his league rep who this team person will be (this avoids multiple people from providing conflicting scheduling info as happened last year). The club rep may also designate a separate person in a similar manner to submit its field availability data to the league.Definition: Each member is a "club" and each club can have any number of teams. Each club designates its own club rep when it activates with the league each year. The league has 5 league Reps and one has been assigned to each "club" (not team). The League Rep is the league contact for the club rep in all league matters only just as a club rep is the league contact for its teams. Each club's "league rep" is identified on the club or [Owner Home] page along with his contact info (you must be logged in as a club rep to have access to this page). If you are logged in as a team person, your "club rep" is identified on your team home page. The ENYTB "HELP" chain described above is summarized below.PLEASE NOTE THE IMPORTANT EXCEPTIONS BELOW.All routine information requests and flows, as well as hardcopy e.g., signed AABC rosters, birth certificates and team insurance, should follow this "bottom-up" pathway.Level 1:......From You (Teams) Club RepLevel 2:................Club Rep League RepLevel 3:..............League Rep MeIMPORTANT EXCEPTIONS:(1) Team Availability - if club rep designates a person to league rep to act in his place, that person has access to his club's league rep for this purpose.(2) Field Availability - if club rep designates a person to league rep to act in his place, that person has access to his club's league rep for this purpose.TO REPEAT:(A) The club rep serves as the exclusive league contact for all teams in his club.(B) The league provides each club rep with his own league contact person (his league rep) to mentor him through the entire league process from day 1 through day N. Club reps should begin all inquiries with their league rep.(C) ANYONE with an information need should contact me directly IF:(i) they are unable to get assistance through normal channels (club reps and/or league reps are unavailable) and their need is urgent;(ii) they feel they are getting unsatisfactory service or incorrect advice; or,(iii)they have a serious problem and/or unique issue that that they believe requires my attention.I am still fully involved in all league operations 24x7 but I was overwhelmed last year by thousands of repetitive routine questions from our team managers and coaches that now number more than 500. The website was supposed to reduce my workload but it seems to have had the opposite effect. Hence, we have implemented this new administrative layer to distribute the league workload among more hands. This will be especially beneficial to you as I begin my 6 week annual rite of scheduling. Those of you that have been with us in past years know that I do not generally respond to information requests during this period (except for new clubs for whom I am their league rep). If I did, there would not be a league schedule of 3500 or so customized games for you to enjoy. However, if you see a problem with your schedule as it is being developed (games appear on the website as I schedule them), please email me ASAP with the word SCHEDULING in the subject. Also, until I declare the league schedule official, all previously scheduled games remain subject to change. Some of you will have your entire schedule or at least all of your home games scheduled early while others won't. That is normal. I schedule in layers based on the "degrees of freedom" each team provides. In the end, all of you will get pretty much exactly what you requested.Thank YouEdps - ages 13U and up have til April 1st to get everything but their rosters entered to the website. Rosters must be entered and all required hardcopy (AABC signed rosters if you elected to be AABC sanctioned, birth certs and team insurance) must be submitted by the club reps to their league reps by May 15 or before their team's first game, whichever comes first.
